Abstract/Summary

SPICA Appliance Division deals with the sale of household appliances, computer, furniture's, and other household items to employees of selected companies. The division has been in operation for one year. The objectives of the division are to gain considerable profit from its operations and to provide its clients an efficient service. SPICA Appliance Division currently has seven subsystems which work hand-in-hand to the accomplishment of these objectives. The subsystem are the following: Client Soliciting System, Order Entry System, Inventory System, Delivery System, Commission Pay-out System, and Accounts Receivables System. The people involved with the division are the President of SPICA Mktg., VP Finance, Sales Officer, Accounting Head, Account Officer, Purchasing Officer, Documentation Clerk, Cashier, Sales Representatives, Delivery Clerk, and Delivery Men. The President supervises all the activities of the division. The VP Finance is in-charge of the monetary system of the division. The Sales Officer supervises the activities of Sales Representatives and the sales of the division. The Accounting head is in charge of all the records and files of the division, and prepares reports such as CDR, MSA and SPR. The Account Officer solicits corporate clients. The Purchasing Officer is assigned to the ordering and purchasing of products from suppliers. The Documentation Clerk checks and validates all incoming and outgoing documents of the division. The Cashier accepts and releases money and checks. The Sales Representatives does the soliciting of employee

clients. The Delivery Clerk is in-charge of scheduling the delivery of ordered items to customers. The Delivery Men do the actual delivery of items ordered to its destination. Each subsystem of the division was exhaustively analyzed. Problems were known which affect greatly the division's desire to meet its objectives--files are not kept efficiently, computations are done inaccurately, there are unnecessary cross-checking of data from several voluminous files, lack of information on the performance of Sales Representatives, sales, and demand of products, inaccuracy of reports, and files are not kept up-to-date. These problems result to the inefficiency of the whole division and its inability to maximize its resources, which will remain unless a solution can be devised. The proponents have developed An Information System for SPICA Appliance Division (ISSAD) which is seen to be the most probable solution to solve the existing problems of the division. ISSAD was developed using structured analysis and design methodology, database concepts and software design. The proposed system deals with the proper monitoring of the performance of Sales Representatives, monitoring of sales of products and brands in different companies, order processing, efficient monitoring of accounts receivables of the division, and commission pay-out processing.
