Abstract/Summary

CMC Dental Clinic is offers different dental services in nine different categories, namely Pediatric Dentistry, Periodontics, Endodontics, Prosthodontics, Restoration, Surgery, Orthodontics, X-ray, and Diagnostics Services. Their mission is to meet the patient's dental needs beyond expectation, with the vision of being the most sought-after dental clinic in the Metro.

The focus of the study is the operations happening inside the dental clinic; this includes the general processes, inventory, and operations done. The operations done in the dental clinic and the data of the clinic dating from January 2015 to December 2015 were then analyzed according to the objectives of the company; the strengths, weaknesses, opportunities, and threats of the dental clinic were then identified. WOT-SURG was done and the group found that the main problem being experienced by the clinic is the cancellations of appointments of their patients. From January to December 2015, it was found that there were 105 instances of cancellation of appointments, which led to an estimated opportunity loss of Pl 18,250. Fishbone Diagram was then used to find out the root causes of the cancellation of appointments and it was found that the root causes are: (1) delayed preventive maintenance, (2) adherence to schedule in submitting the purchase order form, (3) quantity to order of supplies is only based on the current inventory levels, (4) poor item traceability, and (5) do not regularly check the inventory.

Several alternatives were thought of in order to resolve the problem, then the Kepner­Tregoe Decision Analysis was used in order to find the most suitable solution for the dental clinic. The solutions that were chosen in order to resolve the problem are the following: (1) strict implementation of a regular maintenance schedule, (2) set a definite deadline on the submission of purchase order forms, (3) have a penalty cost for not complying with the deadline of submission, (4) increase the order frequency of supplies by two, (5) use 5S housekeeping system, (6) arrange supplies in cabinets by service categorization, (7) assign dental assistants to manage specific service categories, and (8) use visual aids in monitoring the supplies. Cost-Benefit Analysis was used to see if the company will benefit from the solutions and it was seen that the company will have an annual benefit by P99,650. Using the minimum acceptable rate of return (MARR) of 15% and 20%, the annual worth of the proposed system was computed and it resulted to P8, 109.65 per month and P8,048.12 per month respectively.
